OCBC MyWellness Fiesta 2019

Lifestyle of Healthy Living

OCBC MyWellness Fiesta features a line-up of medical practitioners promoting the lifestyle of healthy living. Various health screening was conducted on-site, along with sharing exercise tips, booth games, and sampling of healthier food choices and drinks. Close to 400 OCBC employees attended the one-day event, an initiative put forth by OCBC’s Human Resource Department.

The Challenge

The planning stage started immediately after the client confirmed the requirements for the event. This inaugural internal event will revolve around the theme of healthy living, and as such, the whole event concept must promote the push toward a healthier lifestyle.

The event requires an emphasis on upstream health activities such as having on-site essential medical check-ups as well as the display of healthier food and drink options. But, more importantly, MyWellness Fiesta should act as a holistic platform to show all OCBC employees that healthy living is within easy reach.

The event must include recommendations for health-related demonstrations, booth exhibitions, and other activities. The event’s objective is to give an overall impression that pursuing a healthy lifestyle is rewarding, attainable, and something to be proud of.

And this was just the event conceptualization.

On the logistical aspect, the client reminded the team that only one service lift serves up to the 50th floor. Other building tenants use the lift; thus, the scheduled construction must strictly comply with the allowed hours.

The client also preempts the team on the potential issue of overcrowding. With an expected crowd size of more than 400 guests and only one lift serving the 50th floor, the team must plan for a contingency in the event of a sudden surge of attendees.

The Approach

The team activated the required personnel on Saturday, two days before the event day. This activation was a full out-of-office execution, where all parts of the event were constructed and set up. All carpentry work was assembled on that day, and the set-up of props and the event area took the whole Saturday. The project manager was ever-present from the get-go, ensuring the team was guided during the entire event set-up.

It was a smooth event implementation as all the necessary planning and measurement-scaling were completed days before. In addition, requirements such as the setting up exhibition booths were checked continuously by personnel at the event site.

Another interesting approach was the construction of the green wall. It has been proven that using real plants will help reduce air and noise pollution and help to cool the surrounding temperature. In addition, the green wall gives an impression of an artistic piece of work with all the health benefits that resonate with MyWellness Fiesta’s theme.

The Solution

The solution lies in two main components; digitalization and acumen.

Firstly, the team realised a need to block out the exhibitors’ area from the main event hall. The reason is that some vendors will be conducting free medical screening and will not want to hamper participation because of a lack of privacy. Therefore, the team proposed to set up a line of natural green walls comprising various plants and fauna.

As a result, these green walls assimilated nicely into the event decorations and acted as the perfect makeshift cordon for all exhibitors. A total of 10 exhibitors, which include Parkway Shenton, Doctor Anywhere, Kin Teck Tong, and Genoplan, among others, saw a steady flow of visitors to their respective booths as the event kicked into motion.

To exude a tinge of digitalisation amidst the hustle and bustle of a healthy lifestyle landscape, the team erected a hologram projection that performs as a centerpiece. This was flanked by multiple LED screens that were reconfigured to be stationary informational displays.

The issue of crowd control adopted a tripartite solution. First, as another lift serves till the 49th floor, visual aids such as queue poles were set up on the 49th and 50th floor, respectively, to direct the attendees to move in a single directional flow. While at the entrance of the event hall, a manual clicker keeps count of the number entering the venue. The team also deployed ushers to monitor the crowd movement and to guide the attendees into the event hall.
